The University Archive, established under our Department, carries out the filing, accessible preservation, and disposal of documents produced and created to support the operation and preservation of the University’s institutional structure, in accordance with the relevant legislation.
With a staff trained in the field of archival science, and guided by the principle that “An archive is the memory of a nation,” all archival records that should be preserved from the establishment of the University onward will be incorporated into the system. In this way, historical information and documents will be preserved, and a “Living Archive” will be created.
Archive operations are carried out under two separate categories.
Institutional Archive:
Documents produced within the University and used in institutional workflows are stored electronically in the Electronic Document Management System (EDMS). Printed documents that are required to be retained are kept by the relevant units. Following the procurement of the archive automation software, integration with the EDMS will also be completed, enabling the filing, storage, appraisal, and disposal processes of both printed and electronic documents to be managed through the system. After the system is established, records will be transferred to the State Archives in accordance with the Standard File Plan or disposed of based on the decision of the Archive Commission.
Examination Archive:
Examination envelopes from all academic units of the University are delivered to the Institutional Archive Services Office, where they are registered in the system. Their retention, appraisal, and disposal processes are carried out within the Institutional Archive. This has significantly reduced the archival workload of the academic units. The Examination Archive is maintained separately in Block E of the North Campus.
